The Freelance Billing Specialist plays a key supporting role in our financial operations team, assisting with the end-to-end management of billing processes across multiple client accounts. This role is ideal for an individual with 2+ years of experience in media billing or a related financial support function. A strong working knowledge of Prisma is critical to success in this role. The ideal candidate has hands-on experience navigating Prisma, including IO management, packages, and invoice application processes, and can quickly step in to support and take ownership of billing workflows with minimal onboarding. The ideal candidate should be able to transition into independent ownership of billing workflows after a limited number of onboarding sessions and team walkthroughs.
Job Responsibility:
Assist in pulling and consolidating monthly invoicing data from various media platforms (e.g., Search/YouTube, Social, Programmatic DCM)
Support the preparation, drafting, and issuance of accurate client invoices, ensuring alignment with approved budgets and contractual agreements
Help manage aspects of the client invoicing process, including matching Prisma data with budget trackers, pulling MBOX reports, and supporting draft approvals
Assist with sending Insertion Orders (IOs) as required for new campaigns and offline billing
Support the development, maintenance, and updating of comprehensive billing budget trackers for multiple clients and campaigns, detailing monthly budgets by partner and channel
Assist in building and managing all-channel billing trackers, and help share finalized budgets for pacing and goodwill credit allocation
Contribute to updating programmatic, search, and social budgets based on invoices and internal budget trackers
Help review and update budget trackers from monthly reports and client summaries
Support the tracking and reallocation of budgets for under- or over-delivery across various media platforms
Assist in capturing and communicating mid-campaign budget adjustments to relevant platform leads and internal teams
Support end-to-end monthly invoice reconciliation processes for all media channels
Assist in tracking, calculating, and reconciling 3rd party data fees
Help manage the approval process for vendor invoices
Support the sending and reconciliation of invoices across Search/YouTube, Social, Programmatic/Site Direct, Ad Serving, and traditional media channels
Proactively identify and flag any billing discrepancies for resolution
Utilize and maintain billing platforms such as Prisma and MBOX to accurately reflect planned and actualized billable dollars
Demonstrate working knowledge of Prisma IO structures, packages, and invoice workflows, including how invoices are annotated, applied, and paid
Monitor campaign pacing against planned spend, identifying and flagging potential under- or over-spend to relevant teams
Assist in updating planned spend figures for programmatic, search, and social channels according to established timelines
Contribute financial insights and data to internal reporting processes
Communicate effectively and clearly with internal teams (Media Planning, Business Intelligence, Finance) regarding billing status, discrepancies, and budget updates
Support the creation of client-rolled-up budget trackers and summaries
Requirements:
2+ years of experience in billing, financial operations, or media finance roles, preferably within an agency environment or as an Assistant Media Planner (AMP)
Minimum 1+ year of hands-on experience with Prisma, including managing Insertion Orders (IOs), working with packages and billing structures, and understanding how invoices are annotated, applied, and processed for payment
Ability to leverage Prisma knowledge to quickly learn internal processes and take ownership of billing responsibilities with minimal training
Experience with billing processes, including invoice generation, budget tracking, and reconciliation
Exceptional attention to detail and a proven QA process for financial data accuracy
Advanced proficiency in Microsoft Excel (pivot tables, complex formulas) and Google Workspace
Strong analytical mindset with the ability to interpret financial data and identify trends
Excellent communication and interpersonal skills, capable of clearly articulating financial updates to various stakeholders (Planning, BI, Finance)
Ability to prioritize and manage multiple tasks and accounts simultaneously in a fast-paced, deadline-driven environment
