The Food & Beverage and Culinary Coordinator is an integral part of the Food & Beverage and Culinary teams at the Fairmont Olympic Hotel. This individual will provide administrative and operational support, ensuring the seamless coordination of both departments. The ideal candidate will be a highly organized, detail-oriented professional with excellent communication skills and a passion for hospitality. This role plays a critical part in driving departmental efficiency and enhancing the overall guest experience.
Job Responsibility:
Provide comprehensive administrative assistance to the Food & Beverage and Culinary leadership teams, including managing calendars, scheduling meetings, and preparing reports
Assist with the preparation, distribution, and follow-up of departmental communications, such as memos, schedules, and event details
Maintain organized filing systems for menus, recipes, SOPs, and training materials
Input weekly schedules in labor management systems
Design and print menus, plus other F&B signage and collateral
Champion for OpenTable and the F&B POS system. Manage reservations platform. Set Up OpenTable Experiences and reservations for holidays and special occasions
Reply & accommodate guest special requests
Control common restaurant email inboxes & relay details to necessary stakeholders
Flag VIP & Long-Stay guests
Support the onboarding process for new team members, including the preparation of orientation schedules and training documentation
Serve as a liaison between the F&B and Culinary teams, fostering effective communication and collaboration
Other duties as assigned
Requirements:
Previous administrative or coordinator experience, preferably in a luxury hotel or food & beverage environment
Strong organizational and time-management skills, with the ability to multitask and meet deadlines
Exceptional written and verbal communication skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
experience with hotel systems such as Opera, Silverware, or BirchStreet is an asset
Knowledge of food and beverage operations and culinary terminology is preferred
Detail-oriented, proactive, and able to work both independently and as part of a team
Passion for hospitality and delivering exceptional service
Must hold valid authorization to work in the US
Food Handlers Card and MAST permit required
Nice to have:
Experience with hotel systems such as Opera, Silverware, or BirchStreet is an asset
Knowledge of food and beverage operations and culinary terminology is preferred
