Job Description:

We are looking for an experienced Lead Facilities Assistant with a background in facilities or mailroom environments. As the Floor Captain, you will be the facilities brand ambassador responsible for proactively taking charge of your area of responsibility, bringing the workplace experience to life for office users. The successful candidate will be the go-to face of Anabas, ensuring client needs are met and services are delivered to an exceptional standard, always looking for opportunities to amaze in every interaction. This is a highly client-facing role requiring excellent customer service skills, high standards in operational delivery, and the ability to understand and meet client requirements. The role also includes team management responsibilities, so you must be able to motivate, manage, and coach staff effectively.

Job Responsibility:

  • Take ownership and responsibility for providing support and resolution for client teams, ensuring a 5-star service experience
  • Effectively manage, motivate, and support the team reporting into you
  • Be autonomous in your role, identifying and reporting facilities-related concerns using a “See it, Own it, Fix it” mentality, escalating critical issues to the Workplace Experience Manager
  • Produce monthly statistics for your area of responsibility
  • Ensure all relevant site manuals and records are up to date and available for inspection
  • Act as the primary point of contact for all floor occupants and visitors
  • Build positive working relationships with colleagues and clients at all levels, remaining visible and approachable
  • Maintain a full working knowledge of the building, including services and evacuation procedures
  • Ensure the office is fit for purpose at the start of each day through daily inspections and quality checks
  • Conduct regular floor audits and inspections, acting as the eyes and ears of the Workplace Experience Manager to maintain high standards of operability, cleanliness, and safety
  • Ensure compliance with all Health, Safety, and Environmental legislation, reporting any concerns appropriately
  • Service and maintain print/copy areas, including replenishing paper and toner supplies
  • Manage stationery stock levels, distribute supplies to service stations, complete replenishment orders, and track usage and spend
  • Assist with placing and tracking Amazon orders where required
  • Place and track replacement key orders
  • Ensure the post room operates efficiently, including processing incoming and outgoing mail and courier items
  • Support meeting room reconfigurations as required
  • Provide support across other areas of the Anabas contract on site when needed
  • Communicate clearly and positively with staff at all levels to encourage employee engagement and a positive working environment
  • Take reasonable care of your own health and safety and that of others, complying with all Health & Safety procedures
  • Work in line with Equality & Diversity policies and report incidents that go against an inclusive workplace culture

Requirements:

  • Experience working in a similar facilities, workplace experience, or mailroom role
  • Strong customer service and communication skills, both written and verbal
  • The ability to work effectively in a fast-paced environment
  • A proactive and organised approach to work
  • Good working knowledge of Microsoft Office applications
  • Flexibility to meet business needs
  • Experience managing or supervising team members
