The Fleet Rental Coordinator is responsible for centrally managing and optimizing Congruex’s rental equipment operations across all regions. This role serves as the primary point of control for rental activity, ensuring equipment is sourced efficiently, utilized effectively, and returned on time. The Coordinator drives accountability across project teams, enforces rental processes, and provides visibility into rental performance, costs, and vendor utilization. This individual plays a critical role in reducing rental spend, improving operational discipline, and ensuring alignment with Congruex’s preferred vendor strategy.
Job Responsibility:
Own and manage the full lifecycle of rental equipment, including request intake, sourcing, delivery, utilization tracking, and return
Coordinate daily rental needs across multiple regions, ensuring timely delivery and pickup to support field operations
Monitor active rentals and proactively drive timely returns to minimize unnecessary costs
Enforce internal rental processes, including approvals, proper job coding, and documentation
Prioritize internal fleet utilization before securing external rentals
Track and report on rental duration, utilization, and overdue equipment across all projects
Proactively identify and escalate overdue or underutilized rentals to project teams and leadership
Drive accountability with field and project teams to ensure adherence to rental policies and timely returns
Establish and monitor key performance indicators (KPIs) related to rental efficiency and cost control
Ensure consistent utilization of Congruex’s preferred and national rental partners
Identify and flag off-contract or non-compliant rental activity
Support Procurement team with negotiation and enforcement of national pricing agreements with key vendors (e.g., United Rentals, Sunbelt, Premier Truck Rental, Enterprise)
Serve as the primary point of contact for rental vendors, resolving issues related to delivery, billing, and equipment quality
Maintain accurate, real-time records of all rental equipment in fleet management systems
Provide centralized visibility into rental activity across all regions
Ensure all rented equipment meets company safety and operational standards prior to deployment
Analyze rental spend, utilization trends, and vendor performance to identify cost-saving opportunities
Partner with Fleet leadership to reduce rental costs through improved utilization and vendor alignment
Review and reconcile vendor invoices to ensure accuracy and compliance with agreed rates
Provide detailed reporting to support project billing, forecasting, and financial tracking
Coordinate with maintenance and operations teams to ensure equipment readiness and compliance
Support efficient dispatch and allocation of equipment to minimize downtime
Promote and uphold Congruex’s safety standards across all rental activities
Requirements:
High school diploma or equivalent required, associate or bachelor’s degree in business, Construction Management, Logistics, or related field preferred
2–4 years of experience in equipment rental coordination, fleet management, or construction coordination (telecom or utility construction experience plus)
Working knowledge of construction equipment and vehicles, including aerial lifts, trenchers, excavators, trailers, loaders & backhoes
Strong sense of ownership and accountability with the ability to drive outcomes across multiple teams and regions
Analytical mindset with the ability to interpret data and influence operational decisions
Ability to enforce processes and drive compliance in a fast-paced, decentralized environment
Strong organizational and time-management skills with the ability to manage multiple tasks simultaneously
Excellent communication and negotiation skills for collaborating with vendors and field teams
Proficient in Microsoft Office Suite (Excel, Outlook, Word) and fleet management or ERP software (e.g., Fleetio, Motive or equivalent)
Diligence and commitment to maintaining accurate records
Understand DOT, OSHA, and company fleet safety standards
Ability to research new equipment needs out of the scope of the Fleet’s standard equipment and communicate detailed information to the field managers
