We have opportunities in Bathgate and Weston-super-Mare for experienced Fleet & Plant Compliance Coordinators.

Job Responsibility:

  • Provide effective and efficient support for the Fleet & Plant Compliance Manager in coordinating fleet & Plant operations across the business, ensuring efficient maintenance scheduling, documentation, and communication to maintain compliance and operational effectiveness
  • Maintain databases, run and compile reports, book in services and repairs, manage vehicle allocations and driving license checks
  • Coordinate the day-to-day operation of the SES UK fleet & Plant operations
  • Coordinate vehicle & Plant servicing, inspections, and maintenance schedules ensuring legal, and company compliance, including replacement vehicles as appropriate
  • Assist with co-ordinating the roll out of new fleet
  • Off hiring of vehicles for leavers, including arranging cleaning / valets
  • Act as liaison between drivers, suppliers, and internal departments
  • Support compliance checks and internal audits
  • Maintain accurate records of fleet activities including MOTs, insurance, and driver documentation
  • Input all new vehicles to the company MID and remove when vehicles are off hired
  • Record and review company vehicle drivers’ licenses, including MOT & Insurance certificates for grey fleet drivers
  • Compile and submit reports on fleet & plant usage, maintenance, and compliance
  • Coordinate recharges for fines and tickets in conjunction with Finance
  • Coordinate insurance claims including liaising with managers and the insurance company as appropriate
  • Coordinate fuel card database and order or cancel fuel cards as appropriate
  • Manage vehicle incidents and complaints, investigating and dealing with them promptly
  • Manage toll / tunnel accounts
  • Onboarding of new starters including: allocating an appropriate vehicle, arranging for trackers and livery, updating fleet management system, and undertaking driving license checks
  • Maintain the fleet management database & telematic software, ensuring all records are kept up to date

Requirements:

  • Experience in Fleet and or Plant coordination or logistics support
  • Strong organisational and time management skills
  • Be accurate, diligent, self-motivated with a keen attention to detail
  • Good working knowledge of fleet management systems
  • Effective communication and interpersonal skills
  • Attention to detail and ability to manage multiple tasks
  • Valid driver’s license preferred
  • Be a proficient user of IT and Microsoft systems including Word and Excel
