We are seeking a proactive and detail-oriented Fleet Coordinator to join our team in the bus industry. This role is central to ensuring our fleet operates safely, efficiently, and in compliance with all legal and company standards. You will play a key part in supporting operations by managing vehicle schedules, maintenance records, compliance, and communication between drivers, workshops, and management.
Job Responsibility:
Coordinate day-to-day operations of the bus fleet, ensuring vehicles are available and fit for service
Monitor fleet compliance including MOTs, inspections, servicing, and maintenance schedules
Liaise with drivers, engineering teams, and external suppliers to resolve vehicle issues quickly
Maintain accurate records of vehicle usage, mileage, fuel, defects, and downtime
Support health & safety standards, ensuring all vehicles meet DVSA and company compliance requirements
Assist with accident reporting, insurance claims, and defect reporting processes
Provide regular reports to management on fleet performance, availability, and costs
Support the Engineering Manager with taking notes, preparing letter for employee matters
Responsible for collating and processing pay information for payroll
Requirements:
Previous experience in fleet coordination, transport operations, or a similar role (bus/coach industry experience desirable)
Strong organisational skills with the ability to manage multiple priorities
Good working knowledge of transport compliance (DVSA, OCRS, maintenance standards)
Excellent communication skills, able to liaise effectively with drivers, engineers, and management
IT literate with experience using fleet/transport management systems and MS Office
