Job Description:

Proactive and detail-oriented Fleet Administrator to join vibrant Asset Management Team. Instrumental in ensuring smooth running of extensive fleet of nearly one thousand vehicles across the UK.

Job Responsibility:

  • Support the Fleet Manager & Fleet Supervisor with daily operations, including inbox management and compliance requirements
  • Serve as first point of contact for inbound requests, assisting colleagues and suppliers with fleet management queries, repairs, maintenance, and vehicle deployment
  • Manage parking requirements for all drivers by liaising with councils and parking companies
  • Assist in management of car allocations and vehicle compliance
  • Facilitate timely vehicle servicing, maintenance, and repairs, minimizing downtime and costs
  • Collaborate with Finance team to manage costs, including collating and reconciling invoices
  • Maintain accurate fleet records and generate reports for stakeholders
  • Provide ad-hoc administrative support to the Fleet department

  • Strong time management abilities and experience in a multifaceted role
  • Background in dealing with diverse stakeholders, both internally and externally
  • Familiarity with protocol, procedure, compliance, and various workflows
  • Problem-solving skills and collaborative team spirit
  • Attention to detail and ability to think critically
  • Proficiency in Microsoft Office functions
  • Ideally, experience within a fleet management team
  • Full UK Driving Licence

  • Collaborate with Sales Operations and Leadership to validate requests and gain final approval for all vehicle transfers
  • Manage the day-to-day logistics, including submitting transfer requests to the internal Logistics team and working directly with external Brokers to arrange vehicle transport
  • Confirm pick-up and drop-off timing and details, and send the Bill of Lading (BOL) to the receiving party (e.g., dealer or sales representative)
  • Update and maintain the Demo Fleet Tracker with accurate, real-time locations and statuses of all vehicles
  • Utilize vehicle telemetry/tracking software to gain insightful, accurate vehicle location data
  • Create, manage, and execute Trial Testing Agreements with the receiving party, ensuring all agreements are signed prior to vehicle drop-off
  • Collaborate with Harbinger Technical Program Managers (TPMs) to ensure demo vehicles are compliant for road use and equipped with the necessary and desired features for sales purposes
  • Analyze usage and prepare comprehensive reporting on demo fleet utilization. Provide strategic insights and guidance on the effectiveness of all deployments to drive efficiency
  • Generate and distribute a weekly fleet report summary on the usage and status of each demo vehicle
