Job Description:

We are seeking a Fleet Administrator to provide essential support to our Fleet Department. In this role, you will be the backbone of our data management, ensuring our systems and records are accurate, compliant, and efficient. You will work closely with the wider business to support vehicle availability, regulatory safety, and smooth day-to-day operations.

Job Responsibility:

  • Maintain and update fleet databases, ensuring all records are complete and consistent
  • Manage vehicle and driver data in strict accordance with GDPR and company policies
  • Coordinate and reconcile data across systems to minimize errors and support informed decision-making
  • Assist with vehicle allocations, returns, and "leaver" processes to ensure the fleet is utilised effectively
  • Track vehicle movements to prevent downtime and optimise resource use
  • Ensure all documentation is completed accurately and within deadlines
  • Capture and administer data regarding accidents, SMR (Service, Maintenance, and Repair), and incidents
  • Communicate maintenance schedules to operational teams to ensure vehicle safety and audit readiness
  • Support a culture of safety by ensuring all records meet internal and legal standards
  • Act as a key point of contact for routine fleet queries, providing advice on systems and processes
  • Build and maintain strong relationships with internal stakeholders, clients, and candidates
  • Proactively identify opportunities to improve data accuracy and administrative efficiency

  • Proven experience in an administrative or support role (essential)
  • An understanding of data confidentiality and GDPR principles
  • A relevant administrative qualification or equivalent professional experience is desirable

Experience with the Jaama Key2 fleet management system or prior experience in asset/vehicle management

  • Confirm pick-up and drop-off timing and details, and send the Bill of Lading (BOL) to the receiving party (e.g., dealer or sales representative)
  • Update and maintain the Demo Fleet Tracker with accurate, real-time locations and statuses of all vehicles
  • Utilize vehicle telemetry/tracking software to gain insightful, accurate vehicle location data
  • Create, manage, and execute Trial Testing Agreements with the receiving party, ensuring all agreements are signed prior to vehicle drop-off
  • Collaborate with Harbinger Technical Program Managers (TPMs) to ensure demo vehicles are compliant for road use and equipped with the necessary and desired features for sales purposes
  • Analyze usage and prepare comprehensive reporting on demo fleet utilization. Provide strategic insights and guidance on the effectiveness of all deployments to drive efficiency
  • Generate and distribute a weekly fleet report summary on the usage and status of each demo vehicle
