Job Description:

We are seeking a detail-oriented and proactive Fleet Administration Specialist to join our team. This is an entry-level role into our Operations function and the successful candidate will be responsible for handling a variety of administrative tasks related to vehicle management, including managing vehicle registration documentation and taxation, updating and maintaining the DVLA portal, handling PCN (Penalty Charge Notice) administration and managing recall notices. This role requires excellent organisational skills, a strong attention to detail, and the ability to work efficiently both independently and as part of a team.

Job Responsibility:

  • Open and process daily incoming post, ensuring that all correspondence is directed to the appropriate departments or individuals
  • Perform general administrative duties as required to support the smooth operation of the office
  • Manage all aspects of Penalty Charge Notice (PCN) administration, including receiving, logging, and processing PCNs
  • Respond to queries related to PCNs, liaising with relevant team members and customers to resolve issues promptly
  • Ensure all vehicle registration documents are accurately maintained and updated
  • Manage the process of ordering vehicle records as required
  • Continual ensuring that fleet is taxed and compliant
  • Regularly update and maintain vehicle information on the DVLA portal
  • Monitor and manage recall notices, ensuring that they are communicated to the relevant parties and acted upon in a timely manner
  • Coordinate any necessary actions required to address recall notices
  • Provide administrative support to other teams with vehicle-related tasks, including document preparation, data entry, and information retrieval
  • Assist in the coordination of other logistical tasks as required
