Job Description:
The Academic Affairs Business Office (AABO) provides comprehensive financial, human resources, academic personnel, student employment and related administrative services to the units of the Office of the Executive Vice Chancellor for Academic Affairs. These units include the Office of the EVC, Academic Personnel Services, Resource Administration, Privacy Office, Division of Undergraduate Education, Office for Students with Disabilities, Academic Integrity Office, Summer Session, Teaching + Learning Commons, Graduate Division, and Institutional Research. The AABO also supports the Office of the Vice Chancellor for Organizational Transformation (VC-OT) and its constituent centers and programs including the Cross-Cultural Center, Women’s Center, LGBT Resource Center, Black Resource Center, Raza Resource Centro, Intertribal Resource Center, APIMEDA, and the PATHS Scholars Program. Reporting to the Assistant Director, Fiscal Affairs, serves as the Fiscal Operations Manager for units supported by the AA Business Office. Performs complex financial management activities and senior level fiscal analysis. Uses skills as a seasoned, experienced professional with a full understanding of industry practices and organizational policies; resolves a wide range of issues in imaginative as well as practical ways. Coordinates with Director of AABO, AABO fiscal staff and unit leadership to ensure existing chart of accounts (COA) adequately meets constituent needs; makes adjustments as necessary. Independently manages annual financial processes including fiscal year budget planning in Oracle EPBCS, unit budget allocations, Oracle PPM budget entries as well as coordination of fiscal year-end closing activities. Works closely with the central VC Academic Affairs Budget and Financial unit to coordinate one-time and recurring financial commitments. Serves as a liaison with the Campus Budget Office (CBO) to ensure allocations are accurate and directed to the correct accounts. Represents the AABO on various fiscal-related ad hoc committees as directed. Supervises, directs and trains AABO financial staff responsible for performing and implementing the full range of financial activities including purchasing, travel, entertainment, disbursements and related functions; provides leadership and policy guidance. Serves as Department Administrator (PCard) and Financial Unit Authority (T&E) for Procurement Card and T&E Card requests. Provides daily oversight for fiscal operations activities including budgeting and reporting, expenditure control, travel/entertainment and purchasing, extramural and gift funds, fiscal planning and fiscal compliance. Establishes and maintains appropriate internal controls by ensuring staff training, separation of duties and other procedures as necessary. Uses sound fiscal and risk management practices to implement policies and internal audit controls that comply with campus and external agency requirements. Provides policy, procedural and systems training and guidance as needed to constituents in units supported by the AABO. Submission of a cover letter along with a resume is required for consideration.
