We are seeking a polished and detail‑oriented Administrative Assistant/Receptionist to support a busy financial services office. This role is the first point of contact for clients and provides essential administrative, scheduling, and operational support to the internal team.
Job Responsibility:
Greet clients and visitors
manage front desk operations with a professional and welcoming demeanor
Answer and route incoming calls
handle general inquiries
Manage calendars, schedule meetings, and support office workflow
Prepare client documents, correspondence, and meeting materials
Maintain organized records and assist with data entry and file management
Support financial advisors and office staff with administrative tasks
Coordinate mail, scanning, supplies, and office logistics
Ensure confidentiality of client and company information at all times
Requirements:
Previous administrative or receptionist experience (financial services experience preferred)
Strong communication and customer-service skills
Proficiency in Microsoft Office
ability to learn internal systems, salesforce a plus
Detail-oriented with strong organization and follow-through
Ability to multitask in a professional, client-facing environment
