Job Description

We are looking for a detail-oriented Financial Secretary to support the day-to-day bookkeeping and financial administration of a church organization in San Antonio, Texas. This is a Contract position for someone who can maintain accurate records, manage contributions and disbursements, and provide dependable financial reporting to leadership.

Job Responsibility

  • Record incoming funds, payments, and account activity in the designated financial system while keeping entries accurate and up to date
  • Process weekly contributions, apply donations to the correct member records, and maintain supporting documentation for all giving activity
  • Prepare payments for approved expenses, assign proper account coding, and ensure transactions align with the chart of accounts
  • Complete monthly bank reconciliations, research differences, and coordinate with banking contacts to resolve issues when needed
  • Produce recurring financial reports for church leadership, including monthly, quarterly, and annual summaries with supporting detail
  • Monitor financial records for unusual items or posting errors and communicate concerns promptly to the appropriate leaders
  • Support month-end and year-end close activities by balancing accounts, maintaining general ledger documentation, and organizing files for audit review
  • Assist with budget tracking, stewardship mailings, 1099 preparation, and other administrative finance duties as assigned

Requirements

  • At least 3 years of experience in bookkeeping, accounting support, or a similar financial administration role
  • Working knowledge of accounts payable, accounts receivable, bank reconciliation, and general bookkeeping practices
  • Experience using accounting software such as QuickBooks, QuickBooks Pro, QuickBooks Online, or comparable financial systems
  • Ability to perform accurate data entry and maintain detailed financial records with a high level of organization
