Job Description:

We are looking for a dedicated Financial & Administrative Office Manager to join our team in Westborough Massachusetts. In this critical role, you will oversee the financial, administrative, and human resource functions of the organization, serving as the backbone of our office operations. This position requires a proactive individual who thrives in a dynamic environment and is committed to supporting the company's long-term success.

Job Responsibility:

  • Oversee all aspects of financial management, including accounts payable, accounts receivable, and payroll for a team of 35 employees
  • Manage human resources functions, including benefits administration and employee records
  • Prepare financial reports and perform cash flow analysis to support decision-making processes
  • Handle AIA billing and maintain accurate documentation for construction-related projects
  • Supervise and mentor administrative staff to ensure smooth daily operations
  • Provide administrative support to the owner, assisting with scheduling, reporting, and other business needs
  • Utilize Sage Accounting Software and Excel to manage financial data and generate reports
  • Ensure compliance with company policies and procedures while maintaining a high level of integrity and confidentiality
  • Support sales activities by coordinating documentation and providing necessary administrative assistance
  • Develop and implement office procedures to enhance efficiency and organization

Requirements:

  • At least 5 years of experience in a related role, such as full-charge bookkeeper or small company controller
  • Proficiency in Sage Accounting Software and Microsoft Excel is highly preferred
  • Demonstrated expertise in payroll processing, including Paychex systems
  • Familiarity with AIA billing and documentation processes is a strong advantage
  • Strong understanding of human resources and benefits administration for small businesses
  • Exceptional attention to detail, integrity, and a strong work ethic
  • Proven ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Experience supervising administrative staff and overseeing office operations
