Job Description:

The role will be under the Finance Shared Service team in Manila. The Manager is responsible for transition management and project management as part of the Service Management & Excellence team at Vestas' Finance Shared Service Center (SSC) in Manila. The purpose of the position is to be the main receiving side transition manager and support the service and scope increases to the SSC organisation by planning and overseeing all transition-related activities. This includes all project planning, dependency tracking, and risk handling. This Manager will also be responsible for planning, executing and coordinating improvement projects and system implementation across the SSC.

Job Responsibility:

  • Deliver transitions and identify project management resource needs per phase and wave of the transition
  • Identify and engage with SME and support resources, e.g., in HR, IT, and Comms & Change
  • All work needs to be conducted in coordination and compliance with HR procedures, policies, and processes
  • As part of Change & Comms activities, ensure stakeholder mapping is done for each impacted country
  • Handle coordination with Change & Comms resource to support clear and timely communication of key messages to impacted employees
  • Ensure all phases and toll-gate sign-offs happen according to the Transition Approach per each wave
  • Build and manage the plan for work shadowing in the transition period, covering all services
  • Continuously review resource allocation to ensure the stable execution of the transition
  • Work closely with the service manager and process owners to ensure that all processes are clearly defined on the L4 level and ready for transition
  • Make certain that all personnel involved possess explicit role descriptions and the necessary knowledge before initiating the transition phase
  • Oversee the collaboration between local and SSC resources as required to ensure a smooth knowledge transfer
  • Perform quality review to align documentation to global standards with the support of functional managers
  • Ensure information flow and issue escalation according to the Transition Governance setup
  • Act as the escalation point of contact for any change or issue requests related to the transition
  • Identify and suggest improvement areas and backlog items as part of knowledge transfer and align with the Process Excellence Manager and the Senior Manager
  • Ensure that the to-do split in roles and responsibilities are clearly understood between the countries and the SSC, and that new ways of working are embedded as part of stabilizing BAU operations
  • As a part of knowledge management, ensure that all new knowledge/improvements are properly documented and added to the relevant Standard Operation Procedures (SOPs) and/or the knowledge management database
  • Ensure process documentation is maintained, accessible, changes communicated/training provided, etc.
  • Develop process improvement initiatives, improving quality and efficiency of operations, getting approval through relevant governance forums (to be facilitated by the transformation office for large initiatives)
  • Supports design initiatives (pool of resources/process experts) across the organization and brings the tools, methods, and approaches to accelerate the work
  • Manage transition and project resources against skills, workload and availability, taking into consideration any project-specific needs
  • Identify and execute potential future Finance transition activities as necessary for immediate process improvements and cost savings in the SSC and regions
  • Contribute to the establishment of the Service and Process Management and promote a positive team culture

Requirements:

  • 5+ years of experience with transition management from a shared services organisation or outsourcing organization
  • Experience from a similar industry
  • Extensive transition and transformation experience required, best from multiple global organisations
  • Experience with ERP systems
  • SAP proficiency required
  • Good to have experience in S/4 Hana
  • Depth and breadth in understanding of current and emerging technologies, especially around Automation and GenAI
  • Fluent in English - verbally and written
  • Project management of large change projects
  • Effective stakeholder management and good collaboration skills
  • Good level of understanding of key Finance processes, especially in Operational Finance
  • Knowledge of process documentation and knowledge transfer methodology
  • Professionally motivated and proactive personality
  • High degree of flexibility to adjust to varying time zones and possible changes in scope
  • International mindset and showcases understanding of cultural differences
