Job Description:

We are seeking a Finance Operations Manager with HR coordination responsibilities to oversee the company’s daily financial activities and ensure the accuracy, discipline, and reliability of our internal processes. This role demands a high level of trust and responsibility. You will serve as the internal owner of financial operations, managing daily transactions, overseeing the monthly close, and ensuring reports are ready, all while collaborating closely with external partners such as our CPA, payroll providers, and HR consultants. Beyond finance, the main focus of this position, you will also assist with key HR administrative tasks and vendor coordination, helping to ensure the company operates smoothly in both financial and personnel areas.

Job Responsibility:

  • Manage internal finance functions following U.S. Generally Accepted Accounting Principles (GAAP), including accounts payable, accounts receivable, invoicing, collections support, expense management, and cash flow tracking
  • Function as the primary internal liaison with the company’s external CPA firm for GAAP-compliant monthly closings, reconciliations, and financial reporting
  • Coordinate and supervise the monthly closing process to ensure accuracy, completeness, and timely delivery of financial data
  • Maintain precise financial records, supporting documents, and internal controls aligned with GAAP to ensure preparedness for audits and compliance
  • Prepare clear, leadership-ready GAAP-based monthly financial summaries, including budget-to-actual reports and variance analysis
  • Support annual budgeting, forecasting, and periodic reforecasting processes that adhere to GAAP reporting and management planning requirements, aligning with the company’s growth objectives
  • Coordinate documentation and data requests related to tax filings, audits, and compliance reviews managed by an external CPA firm
  • Monitor cash flow, payment schedules, vendor obligations, and collections efforts to ensure financial stability
  • Support subscription and recurring revenue operations, including billing coordination, GAAP-compliant revenue recognition per ASC 606, deferred revenue tracking, and reporting
  • Coordinate and maintain lease accounting in accordance with ASC 842, including identifying and classifying operating and finance leases, as well as recognizing and reconciling right-of-use (ROU) assets and lease liabilities
  • Identify and implement improvements to financial processes, controls, and report efficiency as the company expands
  • Function as an internal coordinator with the company’s payroll provider to ensure accurate inputs, approvals, and reconciliation of payroll-related accounts in accordance with GAAP
  • Function as an internal liaison with the company’s third-party consulting firms, such as payroll providers, benefits vendors, HR, and other vendors
  • Manage onboarding and offboarding processes to guarantee proper setup, accurate documentation, system access, and compliance
  • Manage employee records, HR documentation, and compliance tracking within HR, payroll systems, and other essential systems
  • Coordinate payroll inputs, monitor time off, and assist with benefits as an administrator, where a third-party provider manages payroll
  • Function as the employee’s main contact for routine HR questions and administrative support
  • Assist with recruiting logistics, coordinate offer processes, and onboard new hires in partnership with leadership
  • Assist with compensation management and performance review processes as directed by executive leadership
  • Monitor HR compliance requirements as the workforce grows across multiple states, including the State of Texas, where the company is officially located
  • Recommend operational enhancements for HR and people processes to improve consistency, efficiency, and employee experience
  • Ensure strict confidentiality, accuracy, and consistency in all financial and employee data
  • Support executive leadership with real-time financial analysis, operational reports, and decision-support documents
  • Work with vendors and service providers involved in accounting, payroll, HR, and operational systems
  • Identify cross-functional process improvements that boost efficiency, reliability, and scalability across finance and HR workflows
  • Manage daily responsibilities and ensure data integrity in the company’s accounting, billing, payroll, and HR systems
  • Maintain strong skills in Excel or Google Sheets for financial analysis, reporting, and modeling
  • Ensure consistency and alignment of data across financial, payroll, and HR systems

Requirements:

  • Over six years of experience in finance operations, accounting, or related roles within a SaaS or technology-focused company
  • Direct experience in managing AP/AR, coordinating the monthly close, budgeting, and financial reporting
  • Experience collaborating with external CPA firms, payroll providers, and HR consultants
  • Solid understanding of internal controls, audit preparedness, and leading financial practices
  • Prior experience with subscription-based or recurring revenue models (ASC 606) is necessary
  • Experience supporting HR operations and compliance in a growing organization is advantageous
  • Strong attention to detail and skill in handling sensitive, confidential information
  • Excellent written and verbal communication skills, with the ability to translate financial data into actionable insights
  • Initiative-driven, well-organized, and confident in a lean, founder-led environment
  • Highly experienced with QuickBooks or similar accounting software
  • Well-versed in the ADP Run system or comparable payroll platforms
  • Knowledgeable about BambooHR or similar HR systems
  • Skilled in Microsoft Office applications like Outlook, Word, Excel, PowerPoint, and others
  • Familiar with communication tools like Zoom, Slack, or similar platforms
  • Confident using the internet and intranet systems
  • Understanding AI capabilities across various HR functions
