Job Description

We are looking for an experienced Finance Documentation Specialist to support equipment loan and lease operations in Glen Allen, Virginia. This Long-term Contract position focuses on managing documentation, coordinating closing activities, and helping ensure transactions are completed accurately and in line with internal policies and regulatory standards. The role partners with internal teams, customers, and external third parties to move transactions from setup through funding and post-closing follow-up in a fast-paced environment.

Job Responsibility

  • Coordinate equipment finance transactions from initial documentation review through final booking and funding, ensuring each step is completed accurately and on schedule
  • Draft and review loan and lease documents that align with approved credit terms, collateral requirements, and applicable legal and compliance standards
  • Determine appropriate lien perfection methods based on transaction structure and collateral type, including titled assets, marine assets, and aircraft-related financing
  • Communicate with customers, vendors, landlords, attorneys, and other third parties to resolve documentation issues and support negotiation of transaction terms
  • Complete onboarding and due diligence activities for new customers and new transactions to maintain adherence to banking regulations and internal control requirements
  • Enter and maintain transaction data in the loan and lease accounting system, while supporting account research, maintenance updates, and payment-related activity
  • Assemble and manage post-closing files, clear outstanding exceptions, and follow up on pending items after funding has been completed
  • Support operational tasks such as wire preparation, draw processing, payoff quote generation, release handling, insurance tracking, credit-related follow-up, and document imaging
  • Review purchased transactions and related sale documents for Capital Markets activity, working with internal stakeholders and external counsel as needed
  • Follow all applicable banking laws, regulatory expectations, and established procedures across daily loan administration activities

Requirements

  • Experience supporting loan or lease documentation, closing, servicing, or loan administration functions within banking or equipment finance environments
  • Working knowledge of equipment finance transactions, collateral documentation, lien filing practices, and post-closing control processes
  • Ability to interpret policies, procedures, and regulatory requirements while maintaining a high level of accuracy in documentation review
  • Strong communication and customer service skills, with the ability to work effectively with internal teams, clients, vendors, attorneys, and other external partners
  • Proficiency in Microsoft Office applications, including Excel and Word, with the ability to manage documentation and reporting tasks efficiently
  • Solid organizational and time management skills, with the ability to prioritize multiple transactions in a fast-moving setting
  • Experience handling compliance-related tasks such as insurance follow-up, credit documentation support, research, and exception resolution
  • Attention to detail and sound judgment when reviewing financial documentation, transaction terms, and servicing requests
