Job Description:

Our client is seeking a proactive and detail-oriented Finance & Administrative Assistant to join their team. This role is ideal for someone with a keen interest in finance and a proactive approach to supporting wider business operations.

Job Responsibility:

  • Manage daily payment data downloads
  • Prepare and process weekly banking payments
  • Reconcile monthly credit card transactions to ensure accuracy and compliance
  • Support the maintenance of the Purchase Ledger, including invoice processing and supplier queries
  • Provide general assistance to Finance Officers with routine and ad hoc financial tasks
  • Handle incoming calls for the Corporate Services Team and CEO
  • Greet and assist visitors in the reception area
  • Maintain visitor logs and staff sign-out records
  • Keep reception and interview areas tidy
  • Manage incoming and outgoing mail in line with office procedures
  • Provide administrative support across departments as needed
  • Take minutes for monthly team and all-staff meetings, ensuring accurate documentation and timely distribution
  • Assist with weekly fire safety checks and maintain accurate records of all tests conducted
  • Support the Corporate Services Administrator in managing and updating the Association's social media channels
  • Assist in gathering information to respond to initial customer enquiries and complaints, following the Association's Complaints Procedure
  • Help promote the Association's work to relevant stakeholders, supporting engagement efforts aligned with organisational goals

Requirements:

  • Strong attention to detail and accuracy, particularly in financial data handling and reconciliation
  • Experience or confidence working with payment systems and purchase ledger processes
  • Excellent communication skills for handling reception duties and stakeholder engagement
  • Good organisational skills with the ability to manage multiple administrative tasks efficiently
  • Ability to work collaboratively across teams and respond flexibly to changing priorities
