Finance Administrative Assistant role at Four Seasons Resort Peninsula Papagayo, Costa Rica. The role involves maintaining professional relationships, enforcing company standards, handling administrative and accounting tasks, contract oversight, invoice processing, reconciliations, audits, and supporting legal, compliance, and audit activities.
Job Responsibility:
Maintain harmonious and professional relationships with all departments, owners and Home Office
Comply with and enforce Four Seasons’ Category One and Category Two Work Rules and Standards of Conduct
Conduct self in a professional manner at all times
Receive, direct or determine action required on all telephone inquiries whenever they are not independently handled
Assist in other areas of the accounting office as needed
Establish and maintain files on all hotel licenses, contracts, leases and agreements
Maintain an inventory of all necessary forms, stationery and related office supplies for the Finance Office and as needed for the entire hotel/resort
Perform any additional duties as assigned by the Director of Finance or Assistant Director of Finance
Oversee active contracts to ensure compliance with terms, timely renewals, pending obligations, and proper documentation
Develops and updates draft versions of contract-related projects
Performs the daily extraction, validation, and upload of electronic invoices into the accounting system
Conducts weekly reconciliations between Satcom system data and iScala financial records
Performs a monthly audit of all petty cash funds
Carries out a structured reconciliation between electronic invoice system and purchase order systems
Participates in and validates monthly F&B inventory processes
Generates monthly invoice reports for assigned entities
Supports periodic reviews of fixed assets
Maintains up‑to‑date records of policies and patents
Coordinates insurance policy renewals
Supports the tracking and validation of CAPEX expenditures
Monitors and processes internal requests related to legal and compliance documentation
Provides documentation, data extracts, and follow-up for internal corporate audit processes
Assists with external audit activities
Performs supplementary administrative or accounting‑related tasks as defined by management
Requirements:
Excellent written and verbal communication skills
Ability to prepare and deliver reports, effective presentations and to facilitate meetings

Plan and monitor duties to ensure effective and efficient use of all available resources
Strong interpersonal and relationship building skills to work with peers, superiors and clients

Working technical knowledge of generally accepted accounting principles and all corporate policies and procedures
Knowledge of and the ability to operate computer equipment and excellent Microsoft Office software and computer skills

Must be able to work with confidentiality and display good discretion
