Job Description

Crystal Stairs is seeking a Family Services Support professional to provide administrative and program support to the Family Services and Head Start teams. This role assists in ensuring families receive the resources, guidance, and support necessary to participate successfully in the program while maintaining accurate documentation and compliance with program guidelines. The ideal candidate is organized, detail-oriented, and comfortable working in a fast-paced, community-focused environment, supporting both staff and families through administrative coordination and program assistance.

Job Responsibility

  • Provide daily administrative support to Family Services staff and program teams
  • Assist with family and parent engagement activities, including scheduling and coordination
  • Maintain and update participant files, case documentation, and program records
  • Perform data entry and tracking in internal databases and program systems
  • Coordinate appointments, meetings, and follow-ups with families
  • Respond to general inquiries from families, staff, and community partners
  • Support the preparation and distribution of program materials, reports, and communications
  • Ensure all documentation complies with Head Start program guidelines, policies, and confidentiality standards
  • Assist with intake processes, record organization, and document collection
  • Provide general office support including filing, scanning, and maintaining organized records

Requirements

  • Previous experience in administrative support, social services, or family services programs preferred
  • Strong organizational and data entry skills
  • Ability to manage multiple tasks and deadlines in a fast-paced environment
  • Excellent communication and interpersonal skills
  • Proficiency with Microsoft Office (Word, Excel, Outlook)
  • Experience working with community programs, families, or social services is a plus
  • Ability to maintain confidentiality and professionalism when handling sensitive information
