Job Responsibility

  • Overseeing the reception desk and soft services
  • Ensuring office security by adhering to security procedures and controlling access through the reception desk
  • Handling office administration
  • Ensuring the smooth flow of documents
  • Providing administrative support to employees and colleagues
  • Assessing needs and ordering office supplies and food items
  • Collaborating with the accounting department on invoice processing
  • Performing administrative tasks for the Facility Manager
  • Managing the mobile phone fleet
  • Organizing meetings and events
  • Conducting onboarding for new employees
  • Ensuring the proper flow of information and documentation
  • Ensuring that common areas in the office are tidy and properly maintained

Requirements

  • Proven work experience as an Administration Specialist or similar role
  • Fluent English and Polish, both written and spoken
  • Practical knowledge of Microsoft Office (Word, Excel, PowerPoint) and other Corporate Apps (e.g. Teams, Slack)
  • Very good communication and interpersonal skills, customer service attitude
  • Desire to be proactive and create a positive experience for others
