Job Description

Facility Executive – Soft Services (Level 4) role involves managing various aspects related to facility operations and services.

Job Responsibility

  • Monitor and oversee housekeeping-related activities within the facility
  • Arrange consumables and supplies for client or VIP visits
  • Interface with pest control for pest management activities
  • Monitor mailroom operations
  • Prepare daily, weekly, and monthly reports
  • Collect vendor documents for compliance audits
  • Take facility rounds to identify and address any issues
  • Manage the facility team to ensure timely deliverables
  • Inspect services regularly to maintain performance standards
  • Assist the Facility Manager (FM) in administrative functions, security matters, and other client-related tasks
  • Own day-to-day administration, including stock tracker reports
  • Groom and monitor vendors in real time, ensuring adherence to service level agreements (SLAs)
  • Conduct background checks for vendors
  • Process vendor invoices
  • Coordinate with space planners for any office moves
  • Maintain soft services stores and stocks
  • Oversee laundry, gym, spa, and wellness room requirements
  • Manage horticulture needs
  • Handle sports equipment stock and issuance
  • Maintain the asset register
  • Ensure timely availability of food and beverage items
  • Submit monthly accruals to the FM
  • Facilitate vendor staff training and development
  • Manage library books and stocks

Requirements

  • Qualifications in property, building, or facilities management are preferable
