Job Description:

The role is to report directly to the Property Manager, overseeing the security, technical and soft services operations of the TFM service providers. This will involve the quality assurance and quality control of the daily facilities management operations, adhering to industry best practices.

Job Responsibility:

  • Report directly to the Property Manager, overseeing the security, technical and soft services operations of the TFM service providers
  • Quality assurance and quality control of the daily facilities management operations
  • Provide OPEX and CAPEX budgeting requirements, financial forecasts, and P&L’s
  • Prepare and submit weekly, monthly, quarterly, and annual reports to the Head of Building Management
  • Assist in the preparation of governance documents, property operations plan, property regulations/rules, policies and procedures, procurement request for approvals
  • Consult with clients, tenants, and contractors
  • Responsible for daily operations of the TFM contract
  • Guide and manage the TFM service providers operatives, skilled technicians, and unskilled personnel
  • Oversee the tender and selection process for all specialist subcontractors
  • Ensure that the TFM service providers adhere to the requirements of any insurance policies, requirements of any relevant authorities, all laws, decrees, local municipality codes of practice and legislation of the UAE and specifically in the Emirate of Dubai
  • Responsible for the competent delivery of the properties planned preventative maintenance (PPM), reactive / remedial works
  • Ensure that sufficient attic and critical stock levels are maintained
  • Ensure that all the statutory inspections, tests are certified and recorded by local authority/municipality approved vendors
  • Ensure all Pre-occupancy/move-in inspections and Termination/check out inspections and or refurbishments / reinstatements are completed on time and to the property standard
  • Responsible for overseeing the maintenance and accuracy of the property management systems (CRM/BMS/CAFM/BIM)
  • Responsible for liaising and advising the Property Manager and Client on changes to local laws and legislation, as well as international best practices
  • Work closely with the Clients, Head of Building Management, Property Manager, TFM service provider, Leasing Agents and various other parties and departments
  • Responsible for reviewing of the Client’s contract and TFM service providers contract
  • Perform all functions and responsibilities of the role deemed necessary for the proper performance of services

  • Experience working directly for and on behalf of a Landlord / Client
  • Microsoft Word / Excel / PowerPoint / CRM systems / building management CAFM systems
  • Fluent English (verbal and written)
