For a prestigious Life Sciences client, we are seeking a Facilities Operations Coordinator to join our dynamic team in the Southern EMEA region. Job Responsibility:

Monitor KPIs at regional and country levels to ensure service excellence across all locations
Track Planned Preventative Maintenance delivery and compliance rates, identifying improvement opportunities
Generate comprehensive forecasts and budget planning reports supporting strategic decision-making
Conduct quarterly risk reviews and proactively address deficiencies through systematic analysis
Create detailed trend and action reports facilitating data-driven performance improvements
Oversee Annual Audits & Inspections with timely corrective action closure maintaining regulatory standards
Monitor consolidated compliance programs (FM Global, MSS, FCA, BSP, Legionella) across all facilities
Ensure high-priority compliance standards are consistently met for key clients
Monitor contractual compliance status and coordinate corrective action implementation
Verify KPI and SLA achievement against established benchmarks
Monitor reactive service requests across all priority levels, ensuring timely resolution
Coordinate maintenance planning and execution per contract requirements and specifications
Manage service request workflows and escalations optimizing response times
Oversee contract-based maintenance schedule integration across multiple systems
Ensure MSA requirement delivery and adherence to service level agreements
Ensure comprehensive data population for assets and contracts across all managed properties
Manage data accuracy for work orders and preventive maintenance scheduling
Maintain system integrity supporting accurate reporting and decision-making processes
Track energy and sustainability plan implementation progress and outcomes
Collaborate with Regional Leadership and Country Teams on operational excellence initiatives
Develop and implement improvement programs based on performance analysis
Build strong relationships with regional service partners and stakeholders
Work closely with Performance Managers across regions sharing best practices
Partner with Regional Directors and FM teams on operational optimization projects
Propose global system and process improvements enhancing service delivery
Support cross-functional performance targets and organizational objectives

Requirements:

3-5+ years progressive experience in facilities management, performance management, or operations
Proven track record in KPI monitoring and performance improvement initiatives
Experience managing large-scale service contracts and Master Service Agreements (MSAs)
Background in data analysis and compliance program management
Proficiency with CAFM systems (Corrigo preferred) and performance management platforms
Experience with ARC Dashboard or similar compliance tracking systems
Advanced Microsoft Excel and data analysis capabilities
Knowledge of FM industry standards and regulatory compliance requirements
Asset management and preventive maintenance planning experience
Strong analytical and problem-solving abilities with attention to detail
Excellence in data management and accuracy maintenance
Effective communication and presentation skills for diverse stakeholder audiences
Ability to work independently across multiple countries and time zones
Proactive approach to performance issue identification and resolution
Strong stakeholder relationship management and collaboration skills
Fluent English and Italian (written and verbal)
