FLEX is seeking an experienced and service-focused Facilities Manager to join our Sydney team. This role combines facilities management, member and tenant experience, coworking operations, and event coordination. Partnering closely with the General Manager, you will ensure the building operates efficiently while maintaining the premium service and presentation standards expected by our members and Bourke & Bowden tenants. You will support the delivery of an outstanding customer experience, manage maintenance and essential services, and contribute to event planning, function space management, and the seamless operation of our coworking and building environments.
Job Responsibility:
Oversee day-to-day building operations, maintenance, and contractor coordination
Conduct regular quality walkthroughs to ensure exceptional cleanliness, presentation, and upkeep
Manage building access systems, security platforms, and respond to emergency alerts as required
Monitor the BMS platform to ensure HVAC systems are operating efficiently and within comfort standards
Ensure HVAC, security, electrical, mechanical and essential services operate smoothly, and issues are addressed promptly
Ensure base building services, including, electrical, mechanical, and other essential systems, operate smoothly, and address any issues promptly
Ensure compliance with environmental sustainability, health and safety standards, fire safety regulations, and implement risk mitigation measures across all building operations
Contribute to monthly reporting, sustainability support tasks, and ongoing building management updates
Support tenant fit-outs, inductions, and the onboarding of contractors
Assist with operational contract renewals, service agreements, and capital works
Coordinate event space bookings, quotes, access, setup, and onsite support
Manage coworking operations including meeting room bookings, F&B offerings, and member enquiries
Support member tours, lead management, and community networking activities
Assist with monthly billing cycles, debtor follow-up, and expense reporting
Support marketing initiatives, online listings, social media updates, and tenant engagement activities
Requirements:
3-5 years’ experience in facilities management, workplace operations, coworking, or hospitality
Strong focus on customer and member experience
Ability to manage multiple priorities in a fast-paced environment
Strong communication and stakeholder engagement skills
Confident in coordinating maintenance, events, and operational processes
Proactive, organised, and solutions-focused with high attention to detail
