Job Responsibility:

  • Manage the Facilities Management (FM) services through our Integrated FM (IFM) supplier including safety, compliance, maintenance and improvement to ensure a safe and operational environment for the business, co-workers and our customers
  • Follow up quality of services delivered by both IFM and direct suppliers through close collaboration, building strong working relationships and daily monitoring
  • Support internal FM related audits and annual reviews
  • Support FM budgeting activities and the annual business plan in the unit
  • Drive the implementation of approved best-practices and projects, aimed at lowering operational cost, and improving the reliability of assets and the efficiency of the FM services
  • Produce monthly financial accruals, raise purchase orders and review supplier invoices to ensure accuracy of the services provided
  • Assist in controlling costs working in a cost-conscious way
  • Follow-up on permits, licences, OC certificates and reporting measures to stay compliant with local and national legislation, internal rules and requirements regarding the FM scope within Ingka
  • Provide subject matter expertise and technical support in daily operations and projects related to the FM delivery model
  • Participate in projects within FM related services as required
  • Proactively contribute to the IKEA sustainability agenda through all FM related activities

Requirements:

  • Experienced in all aspects of FM
  • Experienced with strong contract management skills
  • Able to build strong relationships with internal and external stakeholders
  • Collaborative by nature
  • Driven to identify opportunities and make recommendations to drive continuous improvement
  • Capable to work autonomously, take initiative and possess excellent communication skills
  • Equipped with good understanding of Microsoft office programs (including excel), FM related software and can organise, prioritise and manage administrative tasks efficiently
