The Facilities & Fleet Administrator is accountable for the successful execution of day-to-day operational management of all Soft FM services, fleet, employee transport, cleaning management and the implementation of the safety and security standards. Scope spans Facilities & Fleet Administrator aspects of all core property types e.g. Office, Stationaries, Retail, and other properties (excluding critical premises & RBS).
Job Responsibility:
Day-to-day performance management of Soft FM and car leasing & maintenance providers
Car's incident escalation, follow up and reporting
Employee transport follow-up and reporting
Office cleaning follow up and reporting
Supplier performance management and reporting
Ensure that contractors end employees comply with the company and local H&S legislation (site emergence measures, training etc.)
Manage, monitor, control and report the company car fuel consumption
Provide innovative solutions on portfolio optimizations, share, and implement the best practices
Conclude annual office census and provide the relevant reports
Working with the Head of Property to prepare annual budgets for the Property Section to feed into full departmental plan
Requirements:
At least a first degree or equivalent in a recognized facilities management discipline e.g., Engineering, Civil engineering, Economics etc
Minimum 3 years post qualification experience in similar roles
Very good knowledge of MS office
Project management experience
Proven Commercial Acumen essential
Proven experience of influencing and negotiating skills
Proven experience on incident management
Strong analytical skills
Stakeholder management
Data gathering and validation
