We are looking for a Facilities Coordinator to support daily onsite operations in El Segundo, California. Serve as the first point of contact for visitors while helping maintain an organized, welcoming, and efficient workplace environment. The role includes reception support, coordination of meeting spaces, mail and package handling, and assistance with office services and employee events. This is a short-term assignment covering a leave of absence and requires a detail-oriented, service-focused approach in a fully in-person setting.
Job Responsibility
Welcome employees, clients, candidates, and other guests, manage sign-in procedures, and coordinate visitor access in line with site security practices
Oversee the reception area to ensure shared spaces remain presentable, orderly, and ready for daily business activities
Arrange conference rooms for meetings by coordinating setup needs, technology requests, catering, and support from building or janitorial teams
Receive, sort, log, and distribute incoming mail, packages, and freight, and organize courier or messenger services when needed
Provide administrative support such as stocking office materials, handling routine clerical tasks, and assisting with day-to-day office operations
Support guest hospitality needs by helping coordinate services such as transportation arrangements, reservations, and related accommodations
Assist with planning and setup for workplace activities and employee engagement events as directed by the facilities team
Identify issues involving furniture, fixtures, or equipment and communicate them promptly to facilities or property management for resolution
Follow established procedures to complete assigned tasks accurately and provide additional operational support as requested by the supervisor
Requirements
High school diploma or equivalent and up to two years of relevant experience in facilities support, reception, office coordination, or a similar environment
Ability to follow established processes, carry out routine responsibilities, and work effectively with close guidance when needed
Clear verbal and written communication skills for assisting visitors, employees, vendors, and service providers
Proficiency with Microsoft Office applications, including Word, Excel, and Outlook, along with general computer literacy
Strong organizational skills with attention to detail and a proactive, service-oriented approach to workplace support
Basic math ability for simple calculations related to office or hospitality tasks
Comfortable working onsite in a front-facing role that requires professionalism, responsiveness, and sound judgment
Customer-focused mindset with the ability to maintain a welcoming experience while supporting operational needs
