Job Responsibility

  • Communicate with BM / LL to manage the workplace environment and fix the issues
  • Manage the consumable items and maintain the inventory
  • Manage the keys and the inventory
  • Handling the request for the badge and the access
  • Update the operation manuals and portal site including signage contents
  • Coordinate preparations and room set-up for event services
  • Coordinate planning, schedule, vendor arrangement for minor projects
  • Establish the relationship with key users for smooth operation
  • Assist in the implementation of Industry Best Practice operations
  • Conduct site inspections and assessments to ensure all building procedures and performance measures are maintained at all times
  • Assist in financial processes to ensure that all financial management requirements are completed in a timely and accurate manner
  • Invoice handling in both client and JLL system
  • PO issuing and tracking
  • In emergency case, communicate with the related vendors or BMs to resolve the issue with team member
  • Handle the request of waste management with the related vendors
  • Support the space management and those documentations
  • Arrange the amenity goods and general office supplies
  • Support the reporting on energy management
  • Support other administrative work
  • Managing Work order to meet KPI’s requirement
  • Support / help office concierge and managers
  • Assist in the management of all contractors on site to ensure they perform to the required standards (including inspection of vendors’ works)

Requirements

  • More than 1 year experience on Facility Management / Hospitality services or related field
  • Good communication and presentation skills
  • Mind-set of diversity and inclusion
  • Native level in Japanese and business level in English
  • Knowledge and skill for Microsoft applications (Excel, PowerPoint, Word, Outlook)
  • Self-motivated
  • confident & energetic
  • Strongly goal-oriented – focuses on meeting all performance targets
  • Team player – cooperates and works well with others to meet targets
