Are you a highly organized and experienced coordinator ready to ensure the seamless operation of a leading pharmaceutical environment? We are seeking a dedicated Facilities Coordinator to manage complex work orders, vendor relationships, and compliance for a prominent company in the pharmaceutical sector. This vital role is central to maintaining the physical assets and operational efficiency of the organization.
Job Responsibility:
Facilities & Work Order Management: Coordinate clients, vendors, and contractors to ensure the timely and complete execution of complex work orders and scheduled maintenance
System Management: Execute various tasks, including managing facility services, financial processes, follow-up operations, invoicing, reporting, and team supervision
Compliance & Safety: Monitor and ensure strict adherence to all Health, Safety, Environment (HSE), and Security objectives, procedures, and standards, including follow-up on contractor HSE compliance and safety alerts
Financial Administration: Manage the submission of Purchase Orders, collection of invoices, and coordination with the Accounting Department for monthly payables and asset code management. This includes managing food subsidy costs
Vendor & Contract Management: Oversee and negotiate contracts and providers for both hard (maintenance) and soft (support) services
Reporting & Auditing: Fulfill all monthly, quarterly, and annual reports, including environmental KPIs (water, energy, waste consumption)
Operational Support: Provide support for the company car fleet (reports, invoice checks) and participate in Emergency and HSE Teams
Team & Training: Coach the reception team back up other team members during absences, and conduct annual training for on-site contractors on emergency procedures
Requirements:
2-3 years of job-related experience in facilities coordination or a similar environment
Intermediate problem-solving skills with the capacity to select solutions without requiring supervisory approval
Strong organizational skills with a robust inquisitive mindset, and the ability to explain complicated information clearly and concisely within the team
Degree in Business Administration or related field
An established understanding of work routines, standards, and the ability to apply skills across a range of processes and systems
Excellent command in english
Advanced knowledge of Microsoft Office products (Word, Excel, Outlook)
Ability to calculate advanced figures such as percentages, discounts, and markups
Nice to have:
Prior experience in pharmaceutical industry is a plus
