We are looking for a detail-oriented and dependable Facilities Coordinator to join our team on a contract basis located in the Greater Philadelphia Region. In this role, you will be the primary point of contact for overseeing the decommissioning of a site, ensuring that operations run smoothly during this transition. This short-term Facilities Coordinator position involves coordinating various facility-related tasks, including assisting with packing, shipping, and other logistical needs.
Job Responsibility:
Coordinate routine maintenance and repairs for building systems, including plumbing, electrical, and mechanical components
Oversee the quality and performance of cleaning, landscaping, and security services to ensure high standards are met
Assist with sourcing vendors, supervising their work, and ensuring compliance with contractual agreements
Support administrative tasks such as maintaining facility records, managing compliance documents, and tracking service contracts
Ensure all facilities operations comply with health and safety regulations and legal standards
Assist with space management by overseeing office layouts, internal moves, and workspace reconfigurations
Facilitate inventory control by managing supplies and placing orders to maintain adequate stock levels
Serve as a liaison for staff and external service providers, coordinating logistics for cleaning, catering, parking, and security
Participate in the development and implementation of emergency preparedness and safety plans
Requirements:
Strong organizational and coordination skills with the ability to manage multiple tasks effectively
Excellent communication and interpersonal abilities to collaborate with team members and vendors
Proficiency in Microsoft Office and facility management software
Knowledge of procurement, budgeting processes, and administrative functions
Ability to prioritize tasks and work efficiently under deadlines
High school diploma required
an associate’s degree or higher in business management, facilities management, or a related field is preferred
Previous experience in a facilities coordination or administrative support role is an advantage
