As the Facilities Coordinator, your role focuses on supporting the day-to-day operations and maintenance of the organisation’s head office in North Ryde. Operating in a dynamic environment, you will work closely with contractors, tenants, and internal teams to ensure all buildings and facilities are maintained to a high standard.
Job Responsibility
Coordinating day-to-day maintenance activities, including cleaning, security, waste management, and minor repairs
Lead team of two receptionists
Liaising with contractors and service providers to schedule, supervise, and audit works, ensuring quality, safety, and timely completion
Answering tenant and stakeholder enquiries, resolving operational issues promptly, and managing work scheduling systems
Supporting health, safety, and compliance initiatives by reviewing risk assessments, completing safe work reviews, and conducting site inspections
Tracking costs against budgets, processing variations, and maintaining accurate records, reports, and online filing systems
Requirements
Previous experience in Customer Service, Administration, Scheduling, Maintenance, Property, or Facilities Management
High attention to detail, strong organisational skills, and a proactive attitude toward problem-solving
Passion for helping people, managing contractor relationships, and providing high-quality customer service
A sound understanding of WH&S regulations and comfort using digital tools like Microsoft Office or work scheduling systems
A current driver's licence and the flexibility to respond to after hours call outs if needed
