Job Description:

We are seeking an experienced Facility Coordinator to oversee both hard and soft facility services operations. This role requires a comprehensive understanding of building systems, vendor management, and service delivery to ensure optimal facility performance and occupant satisfaction across all operational areas.

Job Responsibility:

  • Supervise janitorial and cleaning services
  • Coordinate landscaping and grounds maintenance including snow removal and seasonal services
  • Manage security services, access control systems, and visitor management protocols
  • Oversee catering services, event setup, and conference room management
  • Coordinate pest control, waste management, and recycling programs
  • Coordinate maintenance and repairs for HVAC, electrical, plumbing, and mechanical systems
  • Oversee preventive maintenance programs and ensure compliance with manufacturer warranties and service agreements
  • Manage building automation systems and energy management initiatives
  • Coordinate with contractors for major repairs, installations, and capital improvement projects
  • Ensure compliance with safety codes, building regulations, and environmental standards
  • Develop and maintain relationships with service providers, contractors, and suppliers
  • Support the Operations Managers in monitoring of service level agreements and ensure contractual compliance, involved in review of invoices while supporting in managing facility services budgets
  • Conduct regular vendor performance evaluations and coordinate improvement initiatives
  • Maintain detailed records of all maintenance activities, inspections, and service calls
  • Prepare regular reports on facility performance metrics and budget variance analysis
  • Ensure compliance with health and safety regulations, fire codes, and accessibility requirements
  • Support in the coordinating emergency response procedures and business continuity planning
  • Support sustainability initiatives and energy efficiency programs
