The rate and pace of change in the health services is such that that adaptability is essential in this position. BHHC is currently undergoing major developments, and the post holder will be required to maintain and enhance their professional knowledge, skills and aptitudes necessary to respond to a changing environment.
Job Responsibility:
Keep database for BHHC plant and equipment up to date to include all service report information, O&M manuals etc
Compile quarterly KPI information
Carry out audits and check against database
Generate reports for equipment
Follow up on overdue services/any missing information
Compile, roll out and update plant and equipment replacement program
Compile and manage service reports quarterly
Prepare and Issue purchase orders for repairs , callouts
Health and Safety report updated to include adverse events and have ready for meetings
Attend and contribute to weekly engineering operational meetings
Update of plant and equipment risk assessments
Ensure service contractor contact details are up to date
Ensure all contractor information is electronically filed appropriately
Request insurance and other relevant information form service contractors
Compiles SLA’s, issues and ensures follow up completed
Ensure contract costing information is up to date
Be available to assist the DHE as required { i.e. electricity usage, risk assessments}
Assign and close off maintenance work orders as required
Ensure awareness of all procedures in the Engineering induction program
Answer the phone and pass on information to the relevant staff
Call external companies to come in for repairs/collections when necessary
Collect internal mail and ensure authorized invoices are returned to finance
Issue and close and manage contractor permit to work system
Update policies, forms. Reports, action plans
Update policies, policy forms and user manuals as required
Run reports for policy stat to ensure compliance
Posters/leaflets when necessary
Survey questions and survey results calculations, audits
Meeting minutes
Be familiar with the relevant JCI Standards
Ensure JCI standards are being met in relation to FMS
Ensure all company files are in order
Filing of all paperwork (including relevant scanning required)
Order stock items for the Engineering dept
Requirements:
Educated to Leaving Certificate standard or equivalent
Experience working in the Healthcare sector
Strong working knowledge of CAFM systems
Strong working knowledge of FM procedures
High degree of computer literacy (Microsoft office Excel, Word etc)
Experience working with databases with the ability to process and input large volumes of data manually
High level of attention to detail, ability to work under pressure and to meet deadlines
Excellent organisation, administrative and communication skills (including interpersonal skills and the ability to work in a team setting)
Have the ability to build effective working relationships with others, co-operate with colleagues to achieve goals and is sensitive to their needs
Have initiative, diplomacy and analytical skills necessary for anticipating changes that are required and persisting until those changes are implemented
Flexibility and adaptability in approach with a positive outlook towards change
