The Facilities Assistant/Receptionist is responsible for delivering exceptional client and guest experiences, ensuring that all customers and visitors are assisted in a warm, professional, and friendly manner. This role combines the core duties of a receptionist with key responsibilities of a facility coordinator, supporting seamless operations and a hospitality-focused workplace environment.
Job Responsibility:
Enthusiastically welcome guests, anticipate their needs, and assist with arrivals, departures, and office orientations
Engage visitors, employees, and callers to ensure they feel warmly welcomed and assisted in a timely manner
Act as a central point of contact, providing information and wayfinding for the campus, services, and activities
Visibly engaged and well known in the workplace, regularly walking the site to assist customers and guests with their needs
Effectively pair services to guests’ needs and act as a resident expert with contacts in local cuisine, hotels, and knowledge about special attractions and upcoming events
Build connections and network throughout the hospitality industry
Connect with clients, customers, and support teams to proactively anticipate needs, identify issues, and deliver creative solutions
Familiar with all services within the facility and work with facilities management to facilitate a hospitality approach across services
Work across teams to proactively communicate and prepare for meetings and events, anticipate and address concerns, and ensure operations without incident
Demonstrate confidence, professionalism, responsiveness, and exceptional customer service skills
Assist with support for meetings, reception, and personal support
Implement and monitor standards of service to meet and exceed expectations
Actively monitor and maintain the front desk, lobby, and surroundings to ensure an environment that is safe, clean, organized, and reflects brand standards
Execute the badging process for employees, visitors, and third-party providers (optional)
Create work orders for custodial, maintenance, safety, and security concerns through the appropriate channels/systems
Identify potential risks and escalate, as appropriate, to ensure no privacy breach, security incident, or disruption to operations
Perform ad hoc assignments and administrative support for seamless and timely delivery of services
Partner with facility services and management teams to maintain a safe, comfortable environment while proactively coordinating meetings, events, and daily operations to ensure seamless execution
Requirements:

Fluency in English required
Ability to multi-task and prioritize while ensuring consistent and elevated guest experiences and accuracy
Working knowledge of Microsoft Office suite (Teams, Excel, PowerPoint, Word, and Outlook)
Working knowledge in a range of information technology tools and platforms
Ability to perform minimal physical activity such as carrying small packages
