Job Responsibility:
Operations & Maintenance: Support daily office operations, conduct facility walkthroughs, and coordinate repairs with service providers to ensure HVAC, electrical, and plumbing systems function perfectly
Vendor Coordination: Act as a point of contact for external partners (cleaning, security, catering). Monitor SLAs and KPIs, collect performance data, and ensure contractors follow building access and safety protocols
Health & Safety: Conduct regular H&S inspections (fire equipment, evacuation routes), assist with fire drills, and maintain safety records to foster a secure workplace culture
Space Planning: Assist with desk allocations, floor plan updates, and internal moves. Coordinate with IT and furniture vendors for new hire setups and office reconfigurations with minimal disruption
Workplace Experience: Ensure office areas and kitchens are clean and well-stocked. Manage the facilities helpdesk to resolve employee requests promptly and support the reception/security teams when needed
Sustainability: Support green initiatives by monitoring energy usage, managing recycling programs, and tracking environmental data to help the office meet eco-friendly goals
Admin & Finance: Manage maintenance records, equipment inventories, and vendor contacts. Track purchase orders, code invoices, and update budget spreadsheets to support financial oversight
Emergency & Security: Assist with emergency preparedness, maintain contact lists, and guide employees during incidents. Support office security by enforcing access badge and visitor protocols
Requirements:
2+ years of experience in a facilities support, office administration, or building management role, preferably in a corporate or financial services environment
Good understanding of building facilities systems and operations (such as cleaning standards, HVAC, electrical, and other building services)
Fluent English and Hungarian language knowledge
Great communication and problem-solving skills
High level of attention to details and good organizational skills
Experience in Microsoft Office applicaitons
Nice to have:
Any facilities management certifications or coursework are advantageous
Certification in occupational health & safety (such as an IOSH or NEBOSH certificate)
Familiarity with CAD drawings or space planning tools, or experience assisting in office renovation projects
