We are looking for a Facilities Assistant to support day-to-day workplace operations for a Contract position based in Dallas, Texas. This role helps maintain an organized, functional office environment by coordinating meeting spaces, responding to facility-related requests, and working closely with vendors and internal teams. The ideal candidate is detail-oriented, comfortable managing multiple priorities, and experienced in administrative and facilities support within office buildings.
Job Responsibility
Coordinate conference room readiness by arranging spaces, confirming setup needs, and supporting meeting schedules across the office
Track maintenance requests and facility service activity through a computerized maintenance management system to help ensure timely completion
Assist with daily facilities coordination tasks, including work order entry, follow-up, and communication with employees on service updates
Manage relationships with external service providers and oversee vendor visits to support building operations and workplace standards
Support order processing for facility-related supplies and services, including order entry, status tracking, and fulfillment coordination
Help maintain smooth operations in office buildings by monitoring shared spaces and escalating issues that affect safety, functionality, or appearance
Use timekeeping and administrative systems, including Kronos, to support scheduling, record accuracy, and operational reporting as needed
Contribute to facilities planning efforts by helping organize logistics, preparing for office activities, and facilitating workplace support initiatives
Requirements
Experience supporting facilities, office services, or workplace operations in an office environment with strong attention to detail
Working knowledge of CMMS platforms and computerized maintenance management processes
Ability to coordinate conference rooms, meetings, and workplace logistics with strong attention to detail
Experience managing multiple vendors and maintaining effective external partner relationships
Familiarity with order entry, order tracking, and fulfillment support for supplies or service requests
Proficiency with administrative systems such as Kronos Timekeeping System or similar workforce tools
Strong communication and organizational skills with the ability to handle several priorities at once
