Working in this fast-paced team you will assist the Facilities Team with providing a safe, secure, high-quality environment for our people, contractors, and visitors. The role will be key in ensuring the office remains compliant on all levels in support of Facilities management. Though audits and monitoring the facilities helpdesk to provide the highest service levels possible.
Job Responsibility:
Working as part of the Facilities Team to maintain a clean, tidy, safe, and efficiently run office and provision of on-site support services for staff
To provide effective control of all incoming & outgoing goods, post, and couriers, log them and ensure relevant parties are notified in a timely manner
Facilitate the Facilities team purchasing requirements. Equipment, critical spares, maintenance parts, Stationary, Staff kitchen supplies etc
Promoting a Safe working environment and support PA Facilities and Health & Safety function in ensuring compliance and all H&S procedures are adhered to
Monitoring incoming jobs on the helpdesk and assign jobs to yourself and ensure that your allocated jobs are monitored, completed, and closed in a timely manner
In line with PA security protocols and policies, assist in the production, issuing and control of staff access control ID passes
Assist in conducting and recording quality site inductions for staff and contractors
Control contractor access by signing in/out temporary passes
Assist with meeting room and on-site event setups. Maintaining a presentable 5-star environment for clients, colleagues, and visitors
Consistently look for and implement innovations that will enhance the Departments performance, or the clients experience of our venue
Lead quality audits through floor walking inspections, audits, and regular engagement with all internal and external stakeholders in support of Facilities management
Carry out in-house general office tasks & light DIY repairs and ad-hoc duties as required by the business
Requirements:
Experience of working in a high-level corporate environment or venue
Flexible approach to working hours
Ability to foster effective working relationship with internal and external stake holders
Basic knowledge of health and safety and related issues
Good communication skills (both written and verbal)
Ability to work effectively as part of a team
Can do attitude
Nice to have:
Basic Health and Safety or relevant qualification
First Aider or Fire warden experience
Demonstrable contractor and vendor management skills and experience
Familiar with I-auditor, TDS software, OTRS or any Facilities Helpdesk platform
Experience in courier dispatch and goods in
Corporate Purchasing experience
