We are looking for a Facilities Assistant to join our team in Alameda, California. In this role, you will play a key part in maintaining a safe, organized, and efficient workplace environment. Reporting to the Facilities Manager, you will work closely with other team members to ensure seamless daily operations. This is a contract-to-permanent position, offering an excellent opportunity for growth within our organization.
Job Responsibility:
Conduct regular inspections of the office to identify and address facility-related issues, such as lighting, temperature, and cleanliness
Coordinate with external vendors for cleaning services, repairs, and scheduled maintenance tasks
Monitor and manage office supply inventory, placing orders to ensure adequate stock levels
Prepare meeting rooms by arranging furniture, setting up AV equipment, and providing refreshments as needed
Assist with office relocations and workspace adjustments, including logistics and vendor coordination
Ensure adherence to health, safety, and security procedures throughout the facility
Handle incoming and outgoing mail and deliveries, ensuring timely distribution
Provide support for special projects, office events, and reconfiguration efforts as required
Maintain accurate facility records, including vendor contracts and maintenance logs
Requirements:
Previous experience in facilities management, office administration, or a related field is preferred
Strong organizational skills with the ability to manage multiple tasks effectively
Excellent communication and interpersonal abilities to collaborate with team members and external vendors
Ability to work independently and demonstrate problem-solving skills
Proficiency in Microsoft Office Suite
familiarity with facilities management systems is a plus
Knowledge of electrical systems, light repairs, and HVAC maintenance is advantageous
Understanding of OSHA standards and safety procedures
Experience coordinating vendors and managing maintenance schedules
