We are looking for a Facilities Assistant to support office operations, facility management, and administrative tasks in Burnsville, Minnesota. This is a contract-to-hire position ideal for someone who thrives in a dynamic environment and enjoys ensuring smooth day-to-day operations. The role involves collaborating with various teams, handling office logistics, and maintaining facilities to create a welcoming and efficient workplace.
Job Responsibility:
Provide visible support at the main office entrance
greet visitors, employees, customers, and vendors in a professional and welcoming manner
Deliver general reception duties and support for office coordination, including breakroom stocking, supply management, and office upkeep
Act as the go-to resource for employee questions and requests
maintain a highly visible presence throughout the facility
Support onsite and offsite meetings and events (room setup, catering, supplies, logistics)
Assist with creating and distributing PowerPoint presentations and other communications
Maintain administrative systems: update cubicle name tags, office signage, and iLobby records for staff and visitors
Partner with HR to facilitate new hire onboarding (site tours, setup, scheduling) and serve as backup for badge issuance
Order and restock office and breakroom supplies (beverages, snacks, coffee)
may assist with ordering for a second location
Coordinate with property management and vendors for building services, equipment, and supplies
Organize and maintain the office key system
Serve as main backup for shipping and receiving, as well as loading dock monitoring
Requirements:
Minimum 2 years of office administration experience
High school diploma or GED
Proficiency in Microsoft Office (Outlook, Excel, Word, Teams, PowerPoint)
willingness to learn additional systems as needed
Strong organizational skills, attention to detail, and the ability to multitask in a dynamic environment
Excellent communication and interpersonal abilities
Reliable, proactive, service-oriented, and collaborative
Ability to perform both sedentary desk work and frequent movement throughout the facility
