We are looking for a Facilities Assistant to support day-to-day building operations for a manufacturing environment in Seattle, Washington. This Long-term Contract position is ideal for someone who can keep facilities services organized, responsive, and compliant while coordinating maintenance activity across multiple needs. The role focuses on maintaining safe, efficient operations, supporting occupant requests, and ensuring building issues are tracked through to resolution.
Job Responsibility
Monitor routine building operations by performing site checks, reviewing service needs, and helping maintain essential systems such as electrical, plumbing, and life safety equipment
Manage maintenance requests from occupants and subtenants, ensuring concerns are documented, prioritized, and resolved in a timely manner
Coordinate move-in and move-out activities by arranging access, communicating logistics, and supporting a smooth transition for building users
Schedule and oversee external vendors and subcontractors, confirming required documentation, site compliance, and completion of assigned work
Support preventive and repair-based maintenance efforts by tracking work progress and maintaining accurate service records
Respond promptly to urgent facility issues, assist with immediate coordination, and document actions taken along with follow-up updates
Provide operational support for tenant improvement and facility projects, including scheduling access, monitoring work activity, and helping enforce site requirements
Prepare regular updates on maintenance activity, outstanding issues, and related costs while keeping facility records organized and current.
Requirements
Experience supporting facilities, property, or building operations in a coordinator or assistant capacity
Working knowledge of computerized maintenance management systems (CMMS) and maintenance record tracking
Familiarity with building systems, including electrical, plumbing, and life safety components
Ability to coordinate vendors, contractors, and service schedules while maintaining compliance documentation
Strong organizational skills with experience handling records, reports, and multiple service requests at once
Proficiency with office tools and workplace systems, including conference room support and timekeeping platforms such as Kronos
Clear communication skills and the ability to respond professionally to occupant and subtenant concerns.
