Job Responsibility

  • Preparation of Facilities Budget CAPEX and OPEX expenses for Chennai location
  • Tracking of Budget, AMC’s, O&M Expenses
  • Mapping of site requirements in CAPEX or OPEX category as per budget allocated
  • Timely generation of Purchase Requisitions in e-Connect to ensure release of Purchase order in time and execution of Agreements
  • Preparation of approval of process notes as per delegation of authority Matrix
  • Ensure compliance to Authority Matrix and specific Guidelines
  • maintain all necessary documents to ensure transparency and audit compliance
  • Checking and validation of documentation for vendor payment processing
  • Management of Capex expenses
  • Closely tracking of major spends i.e. Premises Rentals, O&M, Electricity, Water, Diesel etc. and reconciliation of accounts with suppliers
  • Approvals to be taken in a timely basis to ensure that the projects are completed within the given timelines
  • Preparation and maintenance of PO and Agreements tracker to avoid expiry or shortfall of value in PO’s
  • Cost / Expense Forecast and Budget vs. Actual reports to function heads
  • Ensure to prepare and share Monthly Provisions with AP team as per schedule / calendar
  • Budgetary reports to share with facilities head for PAN India locations for robust controlling and to ensure expenses remain within budget
  • Tracking of Cost Saving initiatives execution and projections and to share with Facilities Head
  • Commercials/Expenses inputs to be shared and discussed in monthly review meetings for optimal usages and controlling
  • Plan & Manage Budget allocated in an efficient cost center for Facilities Management function. Target opportunities for optimal savings
  • Manage the stakeholders inside the organization with different functions like Finance, legal, procurement and commercials
  • Expertise at handling the inventory for consumables, to curtail inventory-holding expenses and adherence to the optimum stock levels thus minimizing wastage
  • Work well within the teams to collate data for effective day to day functioning
  • Ensure support for Audits internally and externally Tick IT Plus (comprising of ISO 9001 and ISO 27001), ISO 14001, ISO 45001 Certification in all locations
  • Basic knowledge of the Facilities function and operations (Soft service, Engineering Services, Security & consumables etc)
  • Preparation and management of ad-hoc activities Budget and expense. Target opportunities for optimal savings or value for money in expenses
