Job Description

We're looking for a proactive and personable Facilities Assistant to join a busy London office, combining facilities coordination with front-of-house reception duties. This is a varied, fast-paced role where no two days are the same, perfect for someone who enjoys both operational and customer-facing responsibilities. You'll play a key role in ensuring the office runs smoothly while delivering an excellent experience for employees and visitors alike.

Job Responsibility

  • Acting as the first point of contact on reception, meeting and greeting visitors and managing calls in a professional manner
  • Coordinating day-to-day facilities operations, including logging and managing maintenance requests and planned works
  • Liaising with contractors and suppliers
  • Supporting compliance and health & safety processes
  • Carrying out regular office checks, ensuring the workspace is safe, well-maintained and presented to a high standard
  • Managing office supplies and equipment, including stock control and ensuring kitchen and catering areas are fully stocked
  • Overseeing meeting rooms and office setup, including AV equipment and refreshments
  • Supporting events, hospitality, post and couriers, alongside general office administration
  • Taking a hands-on approach to facilities tasks - including moving boxes, handling deliveries, setting up spaces, and ensuring food, drink and office supplies are always replenished and well organised

Requirements

  • Previous experience in facilities, office support, or a reception/front-of-house role
  • Experience and Working knowledge of health & safety practices
  • A hands-on approach, with a willingness to assist with tasks such as handling deliveries and moving items when needed
  • A genuine interest in maintaining a well-presented, organised office environment, with the initiative to keep things clean and running smoothly
  • Excellent communication and customer service skills, with a friendly and professional manner
  • Highly organised, with the ability to manage multiple tasks and prioritise effectively
  • Proactive, reliable, and comfortable working independently
  • Professional in presentation, with a warm and approachable attitude
  • Confident using Microsoft Office applications
