Job Description:

Facilities and Property Administrator role supporting a leading London-based property investment firm managing over 800 commercial and residential properties across England, Scotland, and Wales. The position involves supporting the Commercial Property Management team with efficient handling of Purchase Orders and managing tenant and contractor interactions.

Job Responsibility:

  • Raise and manage Purchase Orders (POs) for commercial property repairs, ensuring accurate processing
  • Act as the first point of contact for tenants and contractors, handling queries professionally
  • Oversee repairs and maintenance, raising job orders and tracking their completion
  • Work closely with the commercial property team, liaising with lettings, residential, and legal departments
  • Manage invoices and liaise with the accounts team to ensure timely payments to contractors
  • Ensure compliance with health & safety regulations, coordinating audits and site visits
  • Maintain key records and organise team schedules for inspections and meetings

Requirements:

  • Proven experience in raising and managing Purchase Orders (POs)
  • Strong organisational skills with excellent attention to detail
  • Confident communicator with the ability to liaise professionally with tenants and contractors
  • Proficiency in Microsoft Office (Word, Excel) and ability to learn internal systems quickly
