Provide essential administrative, organizational, and operational support to the Food & Beverage Division, ensuring seamless communication between outlets, kitchen teams, Events, Purchasing, and Finance. Reporting to the Director of Food & Beverage, you will help maintain the smooth functioning of the division through accurate documentation, menu updates, event coordination, reporting, and departmental support. This role requires excellent attention to detail, strong communication skills, and the ability to manage multiple priorities in a dynamic luxury environment.
Job Responsibility:
Perform administrative duties to support the Food & Beverage Division, including typing, filing, correspondence, document preparation, and maintaining departmental records and files
Manage calendars, schedules, appointments, and internal communication for the F&B management team
Prepare, update, and distribute BEOs (Banquet Event Orders), ensuring accurate communication of event details to culinary, service, and banquet teams
Update and maintain POS systems, menu content, pricing, layouts, and digital/printed F&B materials in accordance with brand standards
Coordinate purchasing entries, BirchStreet orders, inventory needs, and cost‑related documentation in partnership with the Culinary and Purchasing teams
Support outlets during special events, holiday activations, and high‑demand periods as required
Facilitate smooth communication between restaurants, bars, kitchens, banqueting, housekeeping, sales, and other operational departments
Assist with F&B event planning, including administrative preparation, logistics coordination, and post‑event follow‑up
Answer internal and external telephone calls professionally, following Four Seasons standards
Requirements:
Previous administrative, coordination, or F&B experience, ideally within a luxury hotel or high-end hospitality environment
Excellent organizational skills, accuracy, and attention to detail
Strong communication skills (written and verbal) and the ability to coordinate across multiple departments
Technological proficiency: MS Office, Outlook, POS systems, purchasing platforms (e.g., BirchStreet), and basic design tools for menus
Ability to multitask, prioritize, and meet deadlines while maintaining a calm and professional demeanor
A service-first mindset and ability to interact professionally with colleagues, managers, vendors, and guests
Fluency in Italian and English
Legal right to work in Italy
