Job Description

Reporting to the Export Logistics Manager, the Export Logistics & Planning Coordinator will play a key role in processing and dispatching Vitaco stock transfers, international orders, and contract customer orders. You will also support production planning activities and ensure stakeholders remain informed throughout each stage of the process.

Job Responsibility

  • Prepare export documentation — Complete all required export paperwork accurately and on time
  • Manage permits and certificates — Coordinate import/export permits and export certificates to support compliant shipments
  • Liaise with freight partners — Work closely with nominated freight forwarders to ensure smooth dispatch and delivery
  • Monitor production quality results and releases — Track production schedules and finished‑goods availability for export
  • Communicate shipment status — Keep stakeholders updated on shipment progress, outstanding permits, and any issues
  • Support international markets — Assist International Market Managers and maintain accurate customer database records
  • Coordinate planning inputs — Align order, shipment, and timing information with agreed production plans
  • Optimise production flow — Smooth production lines to manage material and capacity constraints
  • Align orders and schedules — Maintain alignment between export/contract orders and production schedules
  • release planned orders in line with operational timelines
  • Perform additional planning tasks — Complete other planning duties as assigned by the Planning Manager
  • Provide cross‑functional coverage — Ensure continuity of export and planning activities during team absences

Requirements

  • Practical, proactive mindset — Able to think ahead, prioritise effectively, and remove roadblocks
  • Strong attention to detail — Ensures accuracy across documentation and planning activities
  • Microsoft Office proficiency — Confident using Word, Excel, and Outlook
  • Customer service experience — Preferably within a New Zealand exporting or shipping environment
  • FMCG or MRP experience — Experience with FMCG operations and systems such as Navision (or similar MRP software) is advantageous
  • Supply chain planning experience — Familiarity with production plans, capacity considerations, and aligning orders with operational schedules
