Job Responsibility

  • Liaising with customers and overseas offices to coordinate export shipments (courier, Air, FCL, LCL, OOG)
  • Maintaining up to date communication with clients, efficiently providing guidance and shipment/enquiry status
  • Ensuring all client KPI’s are achieved, and information is processed through Insight in an efficient manner
  • Verifying cargoes suitability for international transport and making relevant arrangements should the freight require repacking or fumigation
  • Facilitating airfreight /seafreight bookings of various types of cargo including dangerous goods
  • Ensuring competitive buying
  • Timely and accurately completing export clearances and preparing export documentation (inclusive of DG and consular documentation)
  • Pre-alerting and monitoring consignments in a timely manner
  • Completing billing process (timely and accurately coding supplier’s invoices and preparing files for handover to Accounts)
  • Assisting with tenders and competitive RFQ’s
  • Participating in general office and warehouse tasks as required

Requirements

  • Minimum of 2-3 years’ experience in export operations
  • Export Coordinator experience
  • Knowledge of customs and freight forwarding terminology
  • Ability to quote air / sea and courier shipments as and when required
  • Strong problem-solving skills
  • Advanced negotiation and relationship skills
  • High level customer service skills
  • Positive and professional attitude
  • Proficient in CW1 Cargowise operating system & the Microsoft Office suite
  • High attention to detail and strong planning and organising skills
  • Ability to prioritise tasks effectively in a busy work environment
  • Excellent communication skills both verbal and written
  • Ability to work autonomously and within a team environment
  • Excellent working knowledge of Customs Systems

  • The process also involves the preparation and verification of key export documents such as Commercial Invoices, Packing Lists, GST Invoices, Shipping Bills, Examination Reports, Container Self-Sealing Letters
  • Export invoicing for Tractors and components is handled for multiple international all regions
  • Responsible for statutory compliance related to exports, including submission of required documents to Customs and Excise departments for claiming export benefits such as Duty Drawback, IGST Refund, LUT, and Advance License
  • Coordinate with Export Inspection Agencies and Chambers of Commerce for obtaining export-related certifications such as Certificate of Origin (COO)
  • Manage and process Export Certificate of Origin (COO) documentation for the Noida Plant covering all regions
  • Export Inventory Transfer to Dadri Warehouse & Back to Noida Plant for following Regions APAC/EMEA/LATAM
  • Coordinate Cross-functional coordination within the plant to support export operations, aligning , quality, logistics, Treasury and compliance teams to meet international shipment schedules, regulatory requirements, and customer specifications
