Job Description

We are seeking an Executive Team Assistant to join Rapport. Our Executive Assistant population is expected to provide support to their executives by championing leadership and professionalism and demonstrating impeccable judgment and the ability to make sound decisions in a fast-paced, dynamic setting. The EA team aims to provide excellent customer service to both internal and external stakeholders, addressing inquiries and resolving issues in a timely manner. The team delivers a high-end, seamless experience for all visitors and employees. As a dynamic and highly collaborative team, we drive operational excellence while fostering a strong sense of community through engagement initiatives that enhance workplace culture and overall employee experience.

Job Responsibility

  • Calendar management, at times can also be inclusive of inbox management
  • Arranging travel and managing itineraries for complex international and domestic trips
  • Prepare expense reports in a timely manner ensuring accuracy and submit in accordance as per policy
  • Screen all calls for executives and direct as necessary
  • Managing communications, special projects and ad-hoc event assistance
  • Understanding and utilizing all resources available to ensure success and understanding the proper escalation path and when it is needed
  • Establish partnerships that help identify efficiencies and participate in process improvement initiatives across business support groups
  • Work in partnership with other Executive Assistants to ensure seamless coverage and provide backup support as needed while providing excellent customer service to business groups
