To independently manage GRN processing, inventory control, and export–import operations for flavour and fragrance raw materials, intermediates, and finished goods by ensuring system accuracy, regulatory compliance, and efficient coordination with internal and external stakeholders.
Job Responsibility:
Independently create and monitor GRN in SAP for domestic and imported materials (commercial and samples) within defined timelines
Verify quantity, material specifications, batch/lot details, labeling, and packaging against PO, COA, MSDS, and delivery documents
Ensure correct tax structure, valuation, HS code linkage (where applicable), invoice reference, and material master data during GRN posting
Implement and monitor 100% accurate re-labeling of incoming materials as per regulatory and customer requirements
Manage bin location assignment and ensure correct physical placement through WMS
Maintain real-time accuracy of inventory and bin data in SAP/WMS
Submit verified GRN documentation to Finance for timely invoice processing and resolve invoice mismatches
Handle end-to-end import and export documentation including Commercial Invoice, Packing List, Shipping Instructions, COO, COA, and MSDS
Coordinate with CHA, freight forwarders, shipping lines, and transporters for customs clearance and cargo movement
Ensure compliance with DGFT, customs, hazardous chemical regulations, and FSSAI/REACH/IFRA (where applicable to F&F industry)
Prepare and manage documentation for duty drawback, EPCG, Advance Authorization, or other applicable export incentive schemes
Track international and domestic shipments and proactively manage delays and exceptions
Maintain statutory and shipment records for audit and regulatory inspections
Coordinate with Warehouse, QC, Regulatory, Procurement, Customer Service, Sales, and Finance for seamless material and order flow
Lead resolution of discrepancies related to quality, quantity, documentation, or system entries
Prepare advanced MIS dashboards using MS Excel on GRN TAT, inventory ageing, shipment performance, and compliance
Support budgeting, freight optimization, and cost control initiatives
Drive adherence to internal SOPs and KPIs
Identify process gaps and implement automation/improvement initiatives in SAP/WMS and EXIM workflows
Support internal, customer, and statutory audits related to logistics, inventory, and EXIM
Ensure compliance with ISO, GMP, safety, and environmental guidelines
Mentor junior staff and trainees in GRN, inventory, and EXIM operations
Perform additional responsibilities as assigned by management
Requirements:
B.Sc / M.Sc (Chemistry / Chemical Engineering / Related Discipline) preferred
Graduation/Postgraduation in Logistics / Supply Chain is an added advantage
3 to 6 years of hands-on experience in GRN, inventory management, and EXIM operations in chemical, pharma, flavour, fragrance, or related manufacturing industries
Strong working knowledge of SAP (MM/WM modules preferred)
Hands-on experience with WMS
Advanced proficiency in MS Excel (Pivot Tables, VLOOKUP/XLOOKUP, Dashboards, Macros – added advantage)
Exposure to digital documentation and tracking systems
