Job Description

We are seeking a highly professional and proactive Executive Secretary to support our executive team. This remote role, based in Russia, demands exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced, global environment.

Job Responsibility

  • Act as the primary point of contact for the executive team, managing schedules, coordinating meetings, and ensuring effective communication
  • Maintain and prioritize complex executive calendars, scheduling appointments, and resolving conflicts efficiently
  • Draft, review, and manage correspondence, presentations, and reports with a high degree of accuracy and confidentiality
  • Plan and organize international and domestic travel arrangements, including itineraries, visas, and accommodations
  • Prepare agendas, take detailed minutes, and follow up on action items to ensure timely execution
  • Conduct research, prepare briefing materials, and create reports to assist executives in decision-making
  • Handle expense reports, vendor management, and other administrative tasks to support seamless operations
  • Handle sensitive information with the utmost discretion and professionalism

Requirements

  • Bachelor’s degree in Business Administration, Communications, or a related field
  • Proven experience (2+ years) in a similar role supporting senior executives, preferably in a global or MNC environment
  • Fluent in English and Russian (spoken and written)
  • Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with virtual collaboration tools (Zoom, Teams, Slack, etc.)
  • Strong organizational and time management skills with an ability to multitask effectively
  • Exceptional interpersonal and communication skills
  • High level of discretion and professionalism in handling confidential information

Nice to have

  • Familiarity with global time zones and cross-cultural communication
  • Experience with project management tools (e.g., Asana, Trello) or CRM platforms
  • Prior experience in a fully remote or hybrid work setup
  • Additional languages are a plus
