The Executive Recruiting Coordinator & Executive Assistant provides high-level administrative, operational, and logistical support to ensure an exceptional candidate experience and seamless executive-level support. This role handles a wide range of responsibilities with equal focus on executive recruiting coordination and executive assistant duties. This position reports to the VP of Talent Management & Talent Acquisition.
Job Responsibility:
Lead and coordinate complex executive interviews, including calendar management and scheduling, arranging travel itineraries, relocation tours, reimbursement processing, and securing meeting space
Communicate professionally with C-level executives, search partners, and support teams
Prepare, edit, and improve client-facing deliverables such as resumes, status reports, and feedback forms
Partner with executive recruiters to enhance, streamline, and manage the executive recruiting process with an eye toward continuous improvement
Manage confidential candidate information and ensure compliance with all recruiting requirements and documentation standards
Track, document, and maintain applicant records and engagement status across multiple technology platforms
Partner with internal stakeholders to ensure a seamless onboarding process for new executive hires, including paperwork, background checks, and other pre-employment requirements
Provide proactive, high-level administrative support to the VP of Talent Management & Talent Acquisition, including heavy calendar management, meeting prioritization, and strategic scheduling
Coordinate meeting logistics, prepare agendas, gather materials, and support follow-up actions across a wide range of initiatives
Manage travel arrangements and itineraries for the VP, including air and ground transportation, accommodations, expense reports, and itinerary documentation
Serve as a professional, polished point of contact for internal and external partners, handling communications with discretion and sound judgment
Support preparation of presentations, reports, and executive communications
Maintain organization of files, documents, and information flow to ensure efficient operations
Anticipate needs, find opportunities to optimize time and alignment, and provide general administrative support as required to enhance executive effectiveness
Requirements:
Minimum 3 years of experience as an executive administrator or an executive assistant or as part of a corporate executive recruiting team
